Privacy Policy — TrukTek

1. Who We Are

TrukTek Freight Systems LLC ("TrukTek", "we", "us", or "our") operates the TrukTek platform at truktek.com, including the load board, AI tools, rate intelligence, and related services. This Privacy Policy explains how we collect, use, and protect your information when you use our platform.

2. Information We Collect

Information you provide

Account registration details: name, email address, username, password (hashed)
Company information: company name, DOT number
Communications you send us via the contact form or email

Information collected automatically

IP address and device identifiers (used for rate limiting and anonymous tool quota)
Load search activity: origin, destination, equipment type, and date filters you search
Tool usage: number of BOL Scanner and Invoice Processor uses per IP or account
Session tokens and authentication cookies
Browser type and approximate location (country/state level)

Information from third parties

If you sign in with Google or Microsoft, we receive your name and email address from those providers
Billing status is managed through our payment processor; we do not store full card numbers

3. How We Use Your Information

To create and manage your account
To provide load search results, rate intelligence, and AI-powered features (Bandit)
To enforce billing access and subscription limits
To apply rate limits and prevent abuse
To send transactional emails (password resets, account notices)
To improve platform features and monitor system performance
To comply with legal obligations

We do not sell your personal information to third parties. We do not use your data to train third-party AI models.

4. AI Features

Our Bandit AI assistant processes your queries to retrieve load data, rate information, and mileage estimates. Queries are sent to OpenAI's API to generate responses. Please do not submit sensitive personal information through the Bandit chat interface. OpenAI's data handling is governed by their own privacy policy.

Documents uploaded to the BOL Scanner or Invoice Processor are sent to our backend processing service for extraction. Documents are not stored permanently after processing is complete.

5. Data Storage and Security

User account data is stored in an Elasticsearch cluster accessible only by TrukTek systems. We use HTTPS for all data in transit. Authentication tokens are hashed before storage. We implement rate limiting and access controls to protect against unauthorized access.

No security system is perfect. In the event of a data breach affecting your personal information, we will notify you as required by applicable law.

6. Cookies and Tracking

We use session cookies to keep you logged in and maintain your preferences. We use Vercel Analytics to collect anonymous, aggregate usage statistics. We do not use third-party advertising trackers or sell cookie data.

7. Data Retention

Account data is retained for as long as your account is active. If you request account deletion, we will remove your personal information within 30 days, except where retention is required by law. Anonymized usage statistics may be retained indefinitely.

8. Your Rights

You have the right to:

Access the personal information we hold about you
Request correction of inaccurate data
Request deletion of your account and associated personal data
Opt out of non-transactional communications

9. Children's Privacy

TrukTek is not directed at children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us and we will delete it promptly.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated policy on this page with a new effective date. Continued use of the platform after changes constitutes acceptance of the updated policy.

11. Governing Law

This Privacy Policy is governed by the laws of the State of South Carolina, without regard to its conflict of law provisions.
